Admin shipped 2024-vintage schema instead of current. Caught during reconciliation. Recovered with overnight remapping; no critical-path impact, but eats into Week 3 buffer.

May 4 · Week 7 Hyper-care catch

Pre-trade rec caught a fund-class mismatch

During mock-trade, the rec found one fund flagged as Class A in our system but Class I at the admin. Fixed in 90 minutes — would have caused a $42K fee error if it had gone live. This is what hyper-care is for.

First trade · $2.4M into Apollo Direct Lending

Clean execution. Trade rec'd at admin in 14 min. Aspen leadership joined the live war room for the hour. Hyper-care continues through May 13.

Lessons + next time

  1. Ship admin file-format check on day 1 — could have caught the SS&C mismatch a week earlier.
  2. Mock-trade is non-negotiable. Two go-lives now where it caught a real issue in the final week.
  3. Custom workflow scoping needs more lead time. PE secondaries surprised us in week 4; bake a "custom workflow check" into kickoff.
  4. Aspen's stakeholder map worked. Funneling through Sarah cut decision time roughly in half versus our last large customer.
